Privacy Policy

Belconnen Ramblers Basketball Club Incorporated (ABN 73 867 412 386) respects your privacy. This policy explains what personal information this website collects, why, and what happens to it. It's a working draft, reviewed against how the site actually works rather than copied from anywhere — if you have questions about it, get in touch.

Who this policy covers

This policy covers this website (ramblers.net.au) — the pages you're on now, and the enquiry forms on them — and WhatsApp messages the club sends from its official number (see WhatsApp messages). It does not cover:

• Basketball ACT / PlayHQ, which runs player registration, fixtures, ladders and results. When you register a player or view draws and results, you're using PlayHQ's own platform under its own privacy policy — this site only links out to it or displays information PlayHQ already makes public.
• HomeGround, the separate club-management software this club also built. HomeGround has its own privacy policy, covering the club data it holds for day-to-day operations.
• Pay Advantage, used for direct debit payment plans, which has its own privacy policy covering the direct debit authority you sign with them directly.

What we collect

This site has two forms, and collects only what each one asks for:

The "Join us" / player enquiry form (/play/enquiries/) collects the player's name, date of birth and gender, the parent or guardian's name, email and phone number, which age group you're interested in (optional), and any notes you add (optional).

The general contact form (/club/contact/) collects your name, email, an optional phone number, and your message.

Neither form collects payment details, and this site does not process payments directly.

Why we collect it, and who sees it

Both forms exist to let a coordinator or the committee get back to you. Submitting a form sends your information to Belconnen Ramblers via the club's own management system (Ramblers-CMS) — it is not sold, rented, or given to anyone outside the club, other than the third parties below that are directly involved in getting your enquiry to us or getting you registered.

Google reCAPTCHA runs invisibly on both forms to filter spam and automated submissions. Google may collect information under its own Privacy Policy and Terms when this runs.

Microsoft Azure hosts this website and the club's management system, including sending confirmation emails. As with most web hosting, Azure's infrastructure may automatically log standard technical information (such as IP address, browser type, and pages requested) as part of normal operation.

WhatsApp messages

The club may send you WhatsApp messages from its official number, +61 494 828 478 (shown as Belconnen Ramblers ACT), about club matters where timing matters — for example a change to training, a request for a player to fill in for a team, a reminder that a Working With Vulnerable People card is about to expire, or a problem with a payment. They are sent by the club's management system (Ramblers-CMS) through Meta's WhatsApp Business Platform.

• What's used: your mobile number, and the details that message needs, such as a name, a team or a date.
• Who sees it: the club, and Meta, which delivers the message under WhatsApp's Privacy Policy and business terms. Messages are not used for advertising, and your number is not shared with anyone else.
• What we keep: WhatsApp tells us whether each message was delivered and read. Our records of that use WhatsApp's message reference, not your phone number, and we don't keep copies of message text in our logs.
• Replies: this number doesn't currently read replies. To reach the club, use our contact page.
• Opting out: tell us and we'll stop sending you WhatsApp messages, or block the number in WhatsApp at any time. The club will still contact you by email about anything important.

Cookies and tracking

This website does not use cookies, and does not run any analytics, advertising, or social-media tracking scripts.

Photography and the archive

Photographs on this site are used with the consent of the people in them, following the club's own photo policy — no stock images of people, no committee member photos, and care taken around junior players' names and faces. If you'd like a photo of you or your child removed, get in touch and it will be taken down.

The uniform archive is built from photographs and information the club and its members have contributed. If you can help correct or date something in it, or would like something removed, the same contact channel applies.

Children's information

The player enquiry form is designed to be filled in by a parent or guardian on a child's behalf, and asks for the child's name, date of birth and gender as part of enrolling their interest in playing. The club takes its Working With Vulnerable People obligations seriously — see WWVP for what this means for coaches, team managers and officials who work with juniors.

Data security

We take reasonable steps to protect the information this site collects, including relying on Microsoft Azure's infrastructure and security practices for hosting and storage. No method of transmission or storage over the internet is completely secure, but we don't ask for or store anything more sensitive than what's described above.

Access, correction and deletion

You can ask what information we hold about you, ask us to correct it, or ask us to delete it, at any time — including your mobile number for WhatsApp messages — get in touch and a coordinator will help. We keep enquiry information only for as long as it's needed to respond to you and, if you go on to register, for as long as membership administration requires.

Changes to this policy

We may update this policy as the site or the club's processes change. The version on this page is always the current one.
